How it works
From available material to a closed sale, step by step
Stonen organises a decision that is made from memory today: this material is available — who do I offer it to first, and why? This page explains where the information comes from, what the system does on its own, what stays a human decision, and the difference between recommending, offering, reserving and selling.
Where the information comes from
Stonen does not replace the system where your yard is registered. It reads what your company already maintains — inventory, customers and order history — and adds the commercial decision layer on top.
Input can come from a spreadsheet, an ERP export or an integration. Every load records what came in, what changed and what failed, and that record is visible on the Integrations screen. This is deliberate: a load that fails silently is the most common way a system starts to lie.
- Inventory — block, bundle, slab, size, grade, location and how long it has been sitting.
- Customers — company name, commercial contacts and the salesperson who owns them.
- History — orders, line items, price per m² and slabs already sold to each customer.
Imported history is the fuel for the engine, not a Stonen result. Past sales figures shown in the system are sales your company made, brought in from your own records.
What the system computes
For each pairing of an available material and a customer, Stonen separates four questions instead of hiding everything behind a single score:
| Question | What Stonen answers |
|---|---|
| QuestionMay we? | What Stonen answersWhether a commercial restriction, conflict or block prevents this customer from receiving this offer. |
| QuestionWhy? | What Stonen answersThe facts behind the suggestion: already bought this material, pays in this price range, bought from the same family, how long since the last purchase. |
| QuestionIn what order? | What Stonen answersAmong those who may, who deserves attention first. |
| QuestionHow certain? | What Stonen answersHow well the available data supports the conclusion — and when it does not, that shows. |
A blocked customer appears as blocked, not as a low-scoring customer. A block is never offset by good history. Missing data appears as missing data; it never becomes assumed compatibility.
Where the person decides
Stonen sends nothing on its own and closes nothing on its own. It builds the list; the salesperson or the manager decides.
The decision is recorded alongside the original recommendation — including when it is a disagreement. If the salesperson rejects the first suggestion and offers to the third name on the list, both are stored: what the system suggested and what the person did. Disagreeing is a decision, not an operating error.
- Accept — proceed with the suggested customer.
- Reject — discard the suggestion.
- Defer — take it out of the queue for a period.
- Reorder — change the order, with a reason.
A manager may act outside their own book, but by exception and with a mandatory reason, without taking ownership away, and with the responsible salesperson notified. There is no anonymous commercial action.
Recommendation, offer, reservation and sale are four things
This is the distinction that most confuses first-time viewers, and it matters because only one of them touches inventory.
| Stage | What it is | Touches inventory? |
|---|---|---|
| StageRecommendation | What it isa suggestion of who to offer to, with reasons. Nobody has been contacted yet. | Touches inventory?no |
| StageOffer | What it isthe material presented to the customer — on WhatsApp, and on a page with slab photos they open without signing in. | Touches inventory?no |
| StageReservation | What it isthe customer accepted on the page. The system holds the bundles they pointed at for 7 days. | Touches inventory?yes — a real hold |
| StageSale | What it isthe closed deal, recorded with the slabs written down. | Touches inventory?yes — written down |
If two salespeople offer the same bundle, whoever accepts first reserves it; the second is told they arrived late, with the name of who took it. The system never lets the same slab be promised twice in silence.
The conversation with the customer
The salesperson writes in Portuguese. The message reaches the customer in their own language — English, Spanish or Mandarin. The original text is kept as the source of truth, and the translation is derived from it.
The conversation history is the same for the salesperson and the manager. Nobody types twice, and following up does not depend on someone remembering to report.
Translation depends on an external service. If it is unavailable, the message goes out in the original text — nothing stops being sent, but the customer receives Portuguese. Today that switch happens without any on-screen warning, and making the absence visible is an open product item.
What Stonen does not do yet
Two things people tend to assume when they see the screens, and which are not true today:
- It has not yet been measured against real customer responses. Since October a learned model reorders the recommendations and is retrained every month on order history, acceptances and salespeople's rejections with a reason. But there are not yet enough customer responses to calibrate it — until then, Stonen does not promise a hit rate.
- It does not measure salesperson concentration. A manager can assign a salesperson to a material, but the system does not yet say who keeps calling the same customers.
These items are tracked in writing in the product repository, with dates and measurements, not as a generic intention.
